Structure, not tool chaos – how we established sovereign collaboration at WE SUCCESS

Over the past two weeks, we deliberately rebuilt our internal project and collaboration set-up at WE SUCCESS.
Our aim was clear:

➡️ work in a sovereign way
➡️ make knowledge available in a structured form
➡️ organise collaboration securely and scalably

The result is our own self-hosted collaboration environment based on Nextcloud – running on our own machines at IONOS.

From the outset, the following mattered to us:
-> a clear separation of services (collaboration, communication, AI services)
-> scalability without dependencies
-> a dedicated Talk environment for secure and confidential communication
clean, consistent structures for projects, documents and tasks

🤖 We use AI in a targeted, pragmatic way – not as an end in itself, but to structure, signpost and reuse knowledge, embedded in clear project instructions and working logic.

⏱️ Remarkably:
Setting up this environment – including structure, governance and communication – took only a few days.

🎯 The result:
We are now extremely well placed for future project work and advisory mandates. At the same time, we can involve our clients collaboratively in projects and mandates in a targeted, controlled way – transparently, securely and as equals.

Our conclusion remains clear:
Digital sovereignty does not come from a multitude of tools, but from clear structures, deliberate architecture decisions and consistent execution. In our view, Nextcloud is the ideal foundation for this.
